Gym software vs a register or Excel: an honest comparison

A register or spreadsheet works for a small gym with one person at the desk. Once you have more than about a hundred members, staff on shifts, or members paying by UPI at all hours, renewals slip, dues get lost and nobody knows who stopped coming. Gym software fixes those three problems; it doesn't replace a good front desk.

Side by side

  • Renewals — Register: you flip pages to find who's due. Excel: a filter, if someone keeps it updated. Software: a list each morning, plus automatic reminders.
  • Dues — Register: written in the margin. Excel: a column. Software: tracked against each membership, with reminders.
  • UPI payments — Register/Excel: matching screenshots by hand. Software: recorded with a reference, and members can pay online.
  • Invoices — Register/Excel: a separate bill book. Software: a GST invoice for every payment, automatically.
  • Who stopped coming — Register/Excel: you notice when they don't renew. Software: flagged when visits drop.
  • Cost — Register/Excel: free. Software: HextaGym has a free plan for up to 50 members; paid plans from Starter.

When a register is enough

A new gym with a few dozen members, one owner at the desk and mostly cash payments can run on a register. When that changes, move — moving early is easier than moving 500 members later.

Signs you've outgrown it

  • You find out a member's plan ended weeks ago
  • Staff ask each other “did he pay?”
  • End-of-day cash and UPI don't match the book
  • You don't know how many members renewed last month

Frequently asked questions

Is it hard to move from Excel?

No. Your members, plans and end dates can be brought in from your spreadsheet; we help with the first import.

Will my staff manage software?

If they can use WhatsApp, they can use the desk screen: adding a member or a payment takes a few taps.

What does it cost to try?

Nothing. The Free plan is free forever for one gym with up to 50 members.
