Gym renewal reminders: when to send them and what to say
Send three reminders: seven days before a membership ends, on the last day, and three to five days after it lapses. Keep them short, personal and on WhatsApp, include the amount and a link to pay, and stop as soon as the member renews. Automating this is what stops renewals slipping when the desk is busy.

A schedule that works
- 7 days before: a friendly heads-up with the plan, the end date and a renew link
- On the last day: a short reminder
- 3–5 days after: “we've missed you” — and an offer of a longer plan
- After two weeks: a personal call from the owner or trainer
Sample messages
“Hi Priya, your quarterly membership at Power Gym ends on 15 Oct. Renew in 10 seconds here: [link]. See you at the gym!” — “Hi Priya, your membership ended yesterday. Renew today and keep your streak going: [link].”
Automate it
HextaGym sends these reminders on its own — in the app and on WhatsApp — and stops when the member pays. You can change the wording for your gym.
Frequently asked questions
How many reminders are too many?
Three around the end date, then a call, is plenty. Stop the moment the member renews.
Should reminders go on WhatsApp or SMS?
WhatsApp, where you can — in India, it's where members actually read messages.
Can members renew from the reminder?
Yes, if the reminder has a link to your gym's app, where they can pay by UPI or card.
